Statement on use of AI

Principles

Memocule’s goal in its use of AI is to accelerate productivity without compromising accuracy, security, privacy, fairness, accountability, and ethical responsibility.

We are actively monitoring and engaging with evolving legal frameworks, such as the EU AI Act, to ensure our practices remain fully compliant with all applicable laws and regulations as they come into force.

We believe it is critical that Memocule is fully transparent with all stakeholders on its use of AI, regardless of any legal requirements. Hence this document.

Scope

This statement reflects Memocule's current use of AI as of 27th July 2025. Given the rapid advancements in AI, this document will be regularly reviewed and updated. We encourage you to check back for the latest version. In this statement, AI is taken to mean both generic LLMs (Large Language Models) such as ChatGPT et al, as well as domain specific tools such as Cursor et al.

Product

The Memocule product offerings in some cases include an embedded locally running AI. The role of this AI is to support locally based processing. By design, the LLM will not transmit any data outside of its local environment. The precise use of this LLM (for example, Legal Discovery processing of emails and documents) is the responsibility of the user. For more details of your particular use, please consult your implementation partner or reseller.

Memocule professional services consultants can give practical advice on all aspects of AI use, including legal frameworks such as the EU AI act, and intersecting obligations from GDPR etc. However, legal professionals should also be consulted where necessary.

Communications

Memocule does not currently use any AI generated visual materials (whether static images or video). Note that Memocule does use third party photography and videography, so we cannot guarantee this without knowledge of the complete supply chain. However, using both reasonable due diligence and our own judgement of the imagery used, we believe this to be the case.

Memocule does not currently use any solely AI generated text content. AI is used in three specific areas to assist:

  1. Brainstorming of concepts
  2. Critique of structure
  3. Low-level proof reading (e.g. spell & grammar checking)

Memocule does use AI text-to-speech to generate voiceovers for its videos. These are identified in the end credits as “Marketing Synthetic”. The source text is human generated with AI assistance as outlined above. All music has (to the best of our knowledge) has been created by humans and noted in the end credits.

Memocule does not currently use AI to generate any customer directed communication such as lead generation emails or calls, or answering support requests. If Memocule ever were to use AI in this way, the communication would be clearly marked as such.

Engineering

The Memocule code base consists of three main components:

  1. Core/MemoConductor distributed database
  2. Core/MemoGo language
  3. Applications/MemoGo programs

Core

Memocule does not “vibe code”. We have explored this extensively, and continue to do so, but as of the date of this statement, no AI tool can deliver code of sufficient architectural quality. Memocule makes extensive use of functional programming, which by design limits the need for boilerplate code or repetitive code, which are typically where other organisations use AI generated code.

Memocule does use AI as an assistant to programmers in answering “how to” questions. However, any code snippets copied across or auto-accepted are always fully tested in the context of the overall code and remain the responsibility of the human programmer. All Memocule programmers are experienced and fully qualified.

Applications

The MemoGo language is a recursive data structure which is specifically designed to support the needs of both human professional services consultants as well as AI tools. Please consult with your implementation consultant or reseller to determine the degree to which AI was used to generate your specific Memocule application.

In some instances the entire application (MemoGo data structure) can be created by AI, but it remains subject to human review for acceptance and operation.

Operations

No AI or AI agent has access to any Memocule operational system. No third parties have any access to any Memocule system with the exception of Amazon Web Services, which hosts a number of centralised systems.

Memocule does not use AI to monitor its employees, clients, or job applicants.

Privacy

Please also refer to the Data Processing Agreement.

Memocule policies explicitly forbid any transfer of any Personally Identifying Information to any third party AI. This includes any and all client communications in their entirety.
